The goal was to design an engaging hybrid environment that reflected the summit’s themes of collaboration and civic purpose. This included ensuring that both in-person and online attendees could fully engage with the panels and discussions while maintaining the event’s high production value. In addition, Motus Experiential envisioned a refreshed look and feel for the venue, emphasizing interactivity and modernity to align with the forward-thinking themes of the summit.
The Plan
Motus Experiential began by crafting a hybrid strategy that would meet the dual demands of the summit’s audiences. A trusted vendor was brought in to handle the live streaming, ensuring that the virtual experience was free, accessible, and seamless. For in-person attendees, Motus reimagined the event space with updated seating, interactive signage, and vibrant branding elements that transformed the venue into a dynamic hub for conversation and learning.
In addition to managing the logistical complexities of a hybrid event, Motus planned to oversee critical elements such as registration, program coordination, and audiovisual production. Scriptwriting services were also included in the plan to ensure that panel transitions and speaker introductions flowed smoothly, while the team’s hands-on approach allowed for real-time adjustments to keep the event on track. The Renewing Democracy Summit achieved its goals of introducing the new Hillary Rodham Clinton Center for Citizenship, Leadership, and Democracy to the Wellesley community. With the high security surrounding Hillary Clinton, the attendees of the in-person event were alumni, select students, press, faculty, and VIP’s. The event engaged 815 participants virtually and 444 in-person. Feedback from attendees highlighted the event’s seamless execution, with many noting the clarity and accessibility of the online experience as well as the vibrancy of the in-person atmosphere.
