Our skills extend to designing, executing, managing, and staffing everything from large-scale conferences and live music events, to smaller trade show experiences. The Phoenix – LIVE Music Event

The Phoenix, a non-profit, was looking to host an invite only concert in Denver, CO for donors, industry leaders, and partners. The company called on Motus Experiential to partner with their Agency of Record, Elevate Communications. They were looking for Motus to handle all the logistical elements surrounding a live music experience.
Motus Experiential became a trusted partner to work with the client’s marketing and business development teams to handle the event strategy, program production, venue relations, musician relations, onsite registration, vendors, and onsite management. The overall goal of the program was to raise awareness of a new partnership with Send Me a Friend, raise funds, recruit volunteers, and build on the relationship with current donors.

Overcoming Addiction through Movement

The Phoenix, located in Denver Colorado, is a non-profit organization that supports the sober community by fueling resilience and harnessing the transformative power of connection. They bear a healthy, active lifestyle by fostering healing through fitness. They offer activities for everyone – from weightlifting and boxing, to running, hiking, and yoga. These activities help people grow stronger together, overcome the stigma of addiction, and rise to their full potential. With over 130,000 members in 163 counties across 42 states, they motivate their community to rise, recover, and live.

Live Music Event for VIPs

Looking to launch a new “music” themed initiative, The Phoenix decided to host an invite only concert in Denver, CO for donors, industry leaders, and partners. Motus Experiential partnered with their Agency of Record, Elevate Communications, to handle all the event logistical elements.

There were 100+ invite-only guests, plus their 1 guest of choice from both The Phoenix and partner company, Send Me a Friend. When considering the overall event strategy, there were four consumer touch points to keep in mind — electronic invitation, onsite check-in/registration, post-event email, and of course, the event itself.

Strategic Registration Experience

In order to help with the flow of guests at registration, Motus Experiential suggested a branded step and repeat red carpet experience. Motus hired a photographer to take photos of each guest entering the event. The benefit of this strategic registration experience was two-fold. We were able to afford our staff the time to confirm guest information by creating an attraction for guests to interact with. There was also a photo capture for guests that was sent as a follow-up and encouraged social sharing.

Motus Experiential partners exclusively with Sugarhost to manage registration at all of our events. This registration platform allows guests to enter their names and print a name tag on their own. We also positioned a second registration checkpoint to be sure we were able to capture all attendee information and flag any VIP guests that had priority seating. If a VIP was identified, they were escorted to their assigned VIP seats.

After registration, the attendee entered the “bar,” where they ordered a mocktail (as this was a dry event). Signage invited them to scan a QR code. The QR code brought the participant to an engagement form allowing them to donate, volunteer, and/or partner with The Phoenix. This messaging was located at all high-traffic locations from the bar to the main stage screens. It was one of the main calls to action of the night.

Musical Guests

Music from local band, The Sweet Lillies, kicked off the night, followed by a short presentation from the two founding members of The Phoenix. The emcee and the founders introduced the night’s headliner to the stage, award-winning New Orleans singer/songwriter, Anders Osborne.

Results to be Proud of

Post-event follow-up included an email reinforcing The Phoenix’s messaging as well as the guest’s photo from the step and repeat. It also featured a CTA button, encouraging them to donate, volunteer, and/or partner with The Phoenix. The event secured over $100K in sponsorship donations as well as encouraged guests to bring the organization to new communities in the US.
